You may have guests who will be arriving by planes, trains, and automobiles. Below are some ideas to make them feel welcomed, comfortable and it will show your appreciation that they took the time and money to attend your wedding.
You can reserve a block of rooms at a local hotel. Many hotels offer reduced group rates. Find group hotel rates for your guests and hold rooms for them. Usually the minimum number of rooms required to make a block is around 10 rooms per night, but can sometimes be less if you are holding the reception at the hotel. You can add the information to your wedding website for guests to refer to. This will show your guests that you have thought of them and their effort they are making to come to your wedding.
When your guests arrive at the hotel have a basket for them with special treats in it. You could include fruit, wine, cheese, crackers, bottled water, pop, beer, snacks, chocolates are always a hit, candy and or munchies. You may want to go as far as having baked goods or any homemade goodies for them. This is something special to make them feel at home and show them your appreciation.
The front desk or concierge will help you with this if needed.
You could also think about spa products such as aromatherapy candles, bath salts, mud masks, lotions or depending on your budget a mini-massage, if the hotel offers this services. You are saying thank you to your guests and show them that you greatly appreciate them traveling to your wedding. You can also go as far as stocking the basket with products for that "after the wedding headache". Include Tylenol, aspirin, foot creams and anything you can think of that would make their "morning after" more comfortable.
If your guests will be arriving with small children, have babysitters to recommend and gifts and crafts to keep the kids busy while you visit with your out-of-town guests.
Here are some alternatives to spending lots of money on your guests that won't cost a dime.
Directions to local stores, drug stores and shopping.
Menus from local restaurants
List of taxi's, car services or public transportation, including their phone numbers
Brochures for local amusements parks, theaters and family entertainment
Directions and phone numbers to dry cleaners
Local sources for fax, email, postal services, UPS and FedEx in case they need to work
And don't forget to include directions from hotel to wedding and back
Have all your basket made well in advance so you aren't rushed and it becomes a last minute headache. You will have enought headaches without dealing with this. Deliever them to the hotel and place them in theirs rooms or have the hotel this for you.
Good luck and make your out-of town guests feel comfortabe. After all, they spent a lot of money to get there specially if they flew by plane.
